Shopify How-To: Adding and Updating Products

Maintain your Shopify web store’s inventory by adding and updating the products that will be made available for sale.

Adding products to your Shopify webstore can be done by either uploading a CSV spreadsheet or by manually entering them one-by-one. In some instances, it might be better to start off by manually entering items individually because an error in a spreadsheet can have disastrous consequences, thus requiring more time and manpower to correct them. Also, if your business does not have an extreme amount of merchandise, adding manually may be the best course of action to ensure that your store is displaying accurate product information.

Add a New Product

  1. From the Shopify Admin, go to Products.
  2. From Products, click on Add Product.
  3. Enter a title for your product and all of its pertinent information, including pricing and product description.
  4. Save.

NOTE: If you have over 50 store locations, you need to save your product first before adding inventory quantities.

Duplicate a Product

Manually entering products one-by-one can be a time-consuming process. This can help ensure information accuracy, but there’s no denying that the process itself can be mind-numbingly boring and repetitive. Fortunately, you can duplicate a product as a starting point to add a brand new product or you can duplicate a product and modify some of its information if the new item is either related or not too dissimilar from the original product that was duplicated. If you want to add options to an already-existing product, such as color or size, you can add a variant rather than duplicate it.

When you duplicate an existing product, you can make the following adjustments before creating the duplicate:

  • Set a new title.
  • Set the product status to active or draft.
  • Select which other product details to duplicate from a specific set of options.

All other product details, save for 3D models and product videos, are automatically copied over from the original product to the newly-created duplicate product.

NOTE: The Active status applies to all available sales channels by default. If you want the duplicated product to be active only on specific sales channels, set the product status to Draft so that it will not display on those other channels until you choose otherwise.

  1. From the Shopify Admin, go to Products.
  2. Click on the name of the product that you wish to duplicate.
  3. Click Duplicate.
  4. Enter a new title for your duplicate item.
  5. [OPTIONAL] Select the product details to be duplicated.
  6. Set the product status to Active so that the item goes live on all of your available sales channels. To hide the newly-created duplicate item from your sales channels, set the product status to Draft.
  7. Click Duplicate Product.

Editing a Product

For each product created, you can edit their individual product descriptions, prices, and other details pertaining to the product in question.

You can change product details at any time, but keep in mind that changes can affect your reports. Click here for more information regarding changes to product details.

Saved changes will take effect immediately in your online store. Before updating a product, make sure another member of your staff has not made similar edits. Otherwise, Shopify will display the most recently updated changes.

  1. From the Shopify Admin, go to Products.
  2. Click on the name of the product that you wish to edit.
  3. Edit the product details.
  4. Save.

Include or Exclude Certain Products from Sales Channels

The Shopify Admin allows you to control where you are selling a product by adding it to your active sales channels. You can also exclude certain products from either select or all available sales channels.

Reasons for Excluding a Product from a Sales Channel

  • Seasonal items.
  • Out-of-stock items that are due for replenishment in the near future.
  • You no longer want to sell an item at the present time, but may change your mind at a later date.
  • You don’t want to offer exclusive online or exclusive in-store merchandise.
  • You want to stop selling an item on a specific sales channel.
  1. From the Shopify Admin, go to Products.
  2. Click on the name of the product that you wish to edit. The product is included in the sales channels listed under the Publishing section.
  3. Click on > Manage Sales Channels.
  4. Click on the specific sales channels and apps where you want to include/exclude your product.
  5. Click Done.
  6. Save.

PROTIP: You can also set product availability by channel as a bulk action.

Adding and Removing Tags

Product tags work like keywords. They are searchable terms that are associated with your product that can help improve their visibility with shoppers on your website. Tags can also be used to create automated collections.

As standard, each product has a maximum of 250 tags that can be set. This number is unlimited for stores on the Shopify Plus plan.

Adding Tags to an Item

  1. From the Shopify Admin, go to Products.
  2. Click on the name of the product that you wish to edit or create a new product.
  3. Under Product Organization, select or enter tags for your product. Use a comma to separate tags. Tags have a 255-character limit.
  4. Save.

Removing Tags from an Item

  1. From the Shopify Admin, go to Products.
  2. Click on the name of the product that you wish to edit or create a new product.
  3. Under Product Organization, click on the [X] next to the name of the tag to remove it.
  4. Save.

PROTIP: You can add or remove tags as a bulk action.

Editing the Product’s Search Engine Listing

Search engine optimization (SEO) helps direct visitors to your store by directing them to the products they want to buy that also happen to be available on your website.

For effective SEO, try to keep product titles under 70 characters long and keep descriptions under 320 characters. Exceed these amounts and you run the risk of them not displaying properly in search engines because of character cutoff. Also, DO NOT load up your titles and descriptions with unnecessary keywords (IE: keyword bombing). This can have the adverse effect of lowering your SEO rank thus, making it even more difficult for visitors to discover your web store and your products among the countless other stores who are maintaining good SEO practices.

  1. From the Shopify Admin, go to Products.
  2. Click on the name of the product that you wish to edit its Search Engine Listing.
  3. In Search Engine Listing, click Edit.
  4. Under Page Title, enter the product title. Titles will appear as links in search engine results.
  5. Under Meta Description, enter a short description. Use relevant keywords as well as your store/company’s name to help improve your SEO ranks and online presence.
  6. [OPTIONAL] Under URL Handle, change part of the web address for your product. Do not add spaces to the web address.
  7. Save.

Entering Product Barcode Data (Mobile Users)

Use the Shopify app to enter UPC data by scanning the product’s barcode with your mobile device’s built-in camera.

Most modern smartphones and tablets have barcode and QR scanners included in their stock camera apps. Older devices may need to download an additional scanning app, but this is becoming rarer and rarer nowadays.

Apple iOS (iPhone)

  1. From the Shopify app, go to Products > All Products.
  2. From All Products, create a new product or tap on an existing one to edit.
  3. Tap on Inventory.
  4. Under Barcode, tap the barcode icon to open your mobile device’s camera app.
  5. Line up the barcode with the reticle shown on your mobile device’s camera app screen.
  6. Wait for the Shopify app to accept the barcode. Once the code is validated, the app will return to the Inventory page with the barcode number already entered in the field.

Android

  1. From the Shopify app, go to Products > All Products.
  2. From All Products, create a new product or tap on an existing one to edit.
  3. Tap on Inventory.
  4. Under Barcode, tap the barcode icon to open your mobile device’s camera app.
  5. Line up the barcode with the reticle shown on your mobile device’s camera app screen.
  6. Wait for the Shopify app to accept the barcode. Once the code is validated, the app will return to the Inventory page with the barcode number already entered in the field.

Archiving Products

If you no longer want to sell a specific item in your web store but don’t want to delete it entirely from your database, you have the option of archiving it for later use. You can archive singular, individual products or bulk archive multiple products at once by way of a bulk action. Archived products are relocated to the Archived tab of the Products page.

  1. From the Shopify Admin, go to Products.
  2. Choose the item that you want to archive. Click on it.
  3. On the Product Details page, click Archive Product.
  4. Click Archive Product.

To Unarchive a Product

  1. Click on Products and select the tab marked Archived to see all of your archived products.
  2. To remove the product from the archived section, find the item in the Archived tab and click Unarchive Product.

Delete a Product

Shopify allows you to delete a single product or delete multiple products VIA bulk action. The product(s) will be permanently deleted from Shopify. This is for when you’re absolutely certain that, for whatever reason, you won’t be selling a specific item again. The product will be permanently deleted from Shopify. Obviously, if you end up selling the item(s) again in the future, you will have to re-add it manually (or through bulk action for multiple items). If you are only temporarily removing an item from availability, archive the item in question so that it can easily be reintegrated once it becomes saleable again.

  1. From the Shopify Admin, go to Products.
  2. Find the product that you want to delete and then click said product.
  3. From the Product Details page, click Delete Product.
  4. Click Delete Product.
